Terms & Conditions (T&C)

Reception Remote · Fabienne Jeanneret

Version 1.0 · Effective from: 1 July 2026 · Brig (VS), Switzerland

Contractual basis for our collaboration

These terms and conditions (T&C) govern all business relationships between Reception Remote (hereinafter “the provider”) and its clients (hereinafter “the client”). They are an integral part of all quotes, contracts and ongoing services.

1. Preamble

Reception Remote is a specialised service provider for hotels, aparthotels, holiday-apartment operators, property managers and other companies and private individuals in the areas of guest care, reservation management, back-office services and digital process solutions.

These T&C govern all business relationships between Reception Remote (owner Fabienne Jeanneret, Brig VS) and the client. Divergent general terms of the client apply only if expressly accepted in writing by Reception Remote.

2. Definitions

  • Provider: Reception Remote, owner Fabienne Jeanneret, Brig (VS), Switzerland.
  • Client: any natural or legal person who uses services from Reception Remote.
  • Services: all services offered and agreed by Reception Remote (phone service, reservations, back-office, AI solutions etc.).
  • Working day: Monday to Sunday. Public holidays may lead to restricted availability.
  • Support hours: the contractually defined period during which the agreed service level agreement (SLA) applies.
  • Emergency: an unforeseen event that significantly disrupts hotel operations or substantially prevents telephone reachability.

3. Scope

These T&C apply to all services provided, in particular:

  • 24/7 phone service & guest care
  • Online reception & reservations
  • Email and message support
  • Emergency phone service for guests
  • PMS & channel manager maintenance
  • Self check-in support & advice
  • Back-office & administrative relief
  • Use of Reception AI agents

Services can be provided both nationally in Switzerland and internationally for operations abroad.

4. Contract conclusion & term

Quotes from Reception Remote are in principle non-binding. A contract is concluded by written acceptance of the quote, confirmation by email or start of the operational collaboration.

Unless otherwise agreed in writing, contracts are concluded for an indefinite period. There is no minimum contract term. The notice periods are:

Up to 100 rooms / units:
30 days' notice to the end of a calendar month.
Over 100 rooms / units:
60 days' notice to the end of a calendar month.

5. Scope of services & duty of care

Reception Remote provides the agreed services with the required diligence and according to recognised industry standards of Swiss hospitality. The obligation is to act diligently; a specific economic success (e.g. concrete revenue increase, occupancy rates or reviews) cannot be guaranteed.

6. Client's cooperation duties

The client ensures that all information and access necessary for the service (e.g. PMS logins, call forwarding, house rules, price lists, emergency numbers) are provided in good time, completely and correctly.

Delays or extra effort caused by incomplete information or non-functioning client systems can be invoiced to the client based on actual time spent.

7. Support hours & Service Level Agreement (SLA)

Email & standard support

Daily from 07:00 to 23:00 Swiss time. During these hours a first qualified response usually occurs within a maximum of two (2) hours.

Emergency phone support

Daily from 23:00 to 07:00 Swiss time, exclusively reserved for operation-critical emergency situations (e.g. failure of access systems, acute guest problems).

8. Prices & payment terms

The prices stated in the respective agreement or quote apply, in Swiss francs (CHF). Invoices are issued monthly in advance or per the quote and are due net within 14 days.

In case of late payment, Reception Remote is entitled to charge reminder fees of CHF 20.00 as well as default interest of 5% p.a. and to temporarily suspend services in case of outstanding payments.

9. Use of AI-based systems

Reception Remote uses modern artificial intelligence (AI) to support operational processes, translations and guest communication. The client remains responsible for fundamental entrepreneurial decisions and guidelines.

10. Confidentiality & data protection

Both parties undertake strict confidentiality of all commercial, technical and guest-related information. This obligation continues beyond the end of the contractual relationship.

The collection and processing of personal data is governed by our separate privacy policy and the applicable Swiss data protection laws.

11. Liability

Reception Remote is liable in case of intent or gross negligence according to law. In case of slight negligence, liability – insofar as legally permissible – is limited to the amount of one monthly service fee, at most CHF 300.00. Liability for indirect damages, lost profit or failures of third-party systems (e.g. PMS, channel manager, OTA platforms, telecom providers) is excluded.

12. Final provisions, applicable law & jurisdiction

If individual provisions of these T&C are or become invalid, the validity of the remaining provisions remains unaffected.

Swiss substantive law applies exclusively, to the exclusion of the UN Convention on Contracts for the International Sale of Goods (CISG).

Exclusive jurisdiction for all disputes arising from or in connection with this contractual relationship is Brig (VS), Switzerland.
